General Job Description |
This is a professional position responsible for ensuring all university students meet the established criteria for graduation. Creates all master’s degree final graduation plans. Coordinates and plans commencement exercises with other university departments. Responsible for the accuracy of student files in university systems. Creates and summarizes reports pertaining to graduating classes. Responsible for updating, auditing, and correcting graduating student files. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Associate Registrar.

Essential Job Functions |
1. Ensures all students filing for graduation have met the established criteria and requirements for the desired degree, to include checking requirements.
2. Creates, maintains, corrects, updates, and audits students’ graduation files, including undergraduate and all master’s degree final degree plans.
3. Assists each academic dean with reconciling student graduation problems.
4. Creates name and degree list for the commencement program and ensures the program is ready for the commencement exercises.
5. Orders, reorders, and mails out diplomas.
6. Supervises the entry of student graduation files into the university computer system, to include verifying accuracy of student information and degree obtained.
7. Creates and summarizes reports pertaining to graduating students concerning the total number of degrees awarded, number of students graduating, rankings, etc.
8. Provides lists of deficient graduation applicants to academic colleges.
9. Answers inquiries from students, family members and the public concerning graduation status, commencement, and general information.
10. Orders name cards for commencement.
11. Compares and reconciles differences between hard copy and computer system graduation files.
12. Maintains previous year’s graduation files and programs.
13. Supervises and trains assigned staff.
14. Receives and supervises the receipt of payments from students and others for departmentally sponsored activities.

4. Assists other positions within the Office of the Registrar as needed.

Required Knowledge, Skills, and Abilities |

1. Knowledge of, or the ability to learn, university and departmental policies and procedures. 2. Knowledge of, or the ability to learn, federal, state, and local regulations related to the area of responsibility.
3. Knowledge of and ability to apply university policies and procedures as they apply to commencement and filing for graduation.
4. Skill in using computer applications including spreadsheet, database, and word processing software.
5. Skill in completing assignments accurately and with attention to detail.
6. Ability to direct and organize program activities.
7. Ability to assess individual student registration applicability towards degree requirements.
8. Ability to interpret complex documents and perform statistical analysis.
9. Ability to accurately prepare and maintain records, files, and reports.
10. Ability to communicate effectively in both oral and written form.
11. Ability to maintain effective interpersonal relationships.
12. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
13. Ability to set priorities and complete assignments on time.
14. Ability to learn office and university specific software.
15. Ability to work with and maintain confidential information.
16. Ability to train and supervise others.

Physical Demands | |
Required Education |
Completion of at least two years of college coursework or an Associate’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

Required Experience and Training |
Two years of related experience is required.
|
Preferred Qualifications |
Bachelor’s degree is preferred. Experience with Banner ERP system is preferred.

This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
