Job Summary:  Reporting directly to the Provost and Senior Vice President for Academic Affairs, the University Registrar, under general direction, provides leadership and oversight of the overall operations and personnel of the Office of the Registrar and serves as the compliance and certification officer for academic records. The position assures the accuracy and retention of student records, enforces standards and policies, provides oversight of registration processes, and other related functions. The Registrar also oversees external and internal reporting and investigates, develops, and implements technological solutions to support the academic community with the use of student records.  The Registrar serves as the university’s FERPA Officer and Records Retention Officer.

Duties and Responsibilities:

  • Supervises the overall operation of the Registrar's Office and its personnel.
  • Assures the accuracy and retention of the student records system in Banner in accordance with university policy, the Texas Higher Education Coordinating Board (THECB), and the Texas A&M University System (TAMUS), as well as state and federal regulations.
  • Serves as one of the primary administrative users of Banner student information system (SIS) in optimizing effective utilization of SIS in implementing institutional enrollment and registration processes and procedures.
  • Serves as the Records Retention Officer for the university and ensures compliance with applicable records management policies and schedules. Oversees the proper maintenance, storage, and authorized destruction of academic records in accordance with established retention requirements.
  • Oversees external and internal reporting and, as the FERPA Officer, ensures that all FERPA standards are upheld at the university. Serves as functional lead for all projects associated with the Registrar's Office. Works collaboratively with other staff, faculty, administrators, state and federal government agencies, accreditation groups, and the public. Oversees the implementation and maintenance of state and federally mandated policies that impact the area of student records.
  • Oversees academic standards in accordance with university policy by serving as chief certification officer for new graduates, end-of-term processing (grades, academic standing, probation, and suspension), transcripts, curriculum update, degree planning, and degree verification. Ensures accuracy and security of grades. Oversees the student suspension and probation policy for the university as well as drops, adds, and withdrawals related to student appeals.
  • Serves as the compliance and certification officer for academic records, assigned reports, and any academic regulations related to athletics. Ensures compliance and submission of reports, including those for the National Student Clearing House, National Loan Data Services, and Texas Higher Education Coordinating Board (THECB) CBM reports (e.g., 003, 00N), among others.
  • Oversees registration, course scheduling, course inventory, grading, course substitutions, transcripts, web self-service, enrollment verifications, class rosters, degree plans/audits, Degree Works, and certifies student eligibility for graduation. Supports, with others, space utilization, graduation processing, course inventory, and course schedule coordination.
  • In collaboration with others, develops, implements, and maintains university catalogs and calendars, and serves on the University Undergraduate Curriculum Committee, Graduate Council, Calendar Committee, and Academic Advisory Committee, among others.
  • Works with staff to develop, interpret, and implement the policies and procedures of the Registrar's Office and to identify strategic goals, objectives, and opportunities. Documents goals, objectives, strategies, outcome data, and program evaluation analyses annually or as requested.
  • Provides training for faculty and staff in the use of Banner and enrollment or registration-related processes, serves on committees, and performs other duties as assigned.
  • Represents the University at relevant state, regional, and national conferences. Stays abreast of trends and best practices in academic records, enrollment management, and utilization of systems including Banner and Degree Works. Assists with graduation, new student orientation, and other events.
  • Investigates, develops, plans, and implements technological solutions to support the Registrar's Office and the university. Works collaboratively with Enrollment Management and Information Technology groups.

Required Education and Experience
Education - Bachelor’s degree in applicable field. An equivalent combination of education and experience may be considered.
Experience - Ten years of related experience. Experience with student information management systems and operations. Knowledge of state and federal reporting requirements.

Preferred Education and Experience

Master’s degree in an applicable field or equivalent combination of education and experience. Professional-level experience in Registrar’s office operations including supervisory experience.

Required Skills and Abilities

Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality. Excellent written communication, analytical, interpersonal, and organizational skills.
