SUMMARY OF JOB DESCRIPTION:  The Registrar’s responsibilities included, but are not limited to, maintaining responsibility for college registration activities and maintenance and integrity of all student records. This position compiles data, surveys, and reports on enrollment and educational activities for administration, government, and other external agencies. The Registrar performs and approves official graduation audits, and acts as a central communication resource for academic and policy information related to student records management. This position reports to the Associate Vice President of Student Services. This is an exempt level position.
 
DUTIES AND RESPONSIBILITIES:
    • Evaluates registration activities and makes changes to improve efficiency, serves as a liaison between instructional administration, faculty, and students regarding issues, canceled courses, and attendance. 
    • Oversee Admissions and Records department and all operations in the registration process (record creation, course schedule building, classroom assignment, final exam scheduling, grade processing, transcript issuance, and student enrollment verification).
    • Evaluates registration activities and makes changes to improve efficiency, serves as a liaison between instructional administration, faculty, and students regarding issues, canceled courses, and attendance. 
    • Oversees all operations in the transfer credit process and prior learning credit process (evaluation of transcripts, posting of credit, processing and building of transfer credit).
    • Recommends and participates in the development and implementation of Lamar Institute of Technology’s (LIT) policies and procedures regarding student registration, records, class schedules, instructional space scheduling, residency requirements, identification cards, and graduation requirements. 
    • Establishes and implements short- and long-range department goals, objectives, policies, and operating procedures; monitors and evaluates program effectiveness; effects changes required for improvement. 
    • Recommends and participates in the development of LIT policies and procedures; may serve on college planning and policy-making committees. 
    • Responsible for departmental budget. Prepares and recommends annual departmental budget to Associate Vice President of Student Services and approves and monitors office expenditures. 
    • Offer exceptional customer service in a student-centered, professional environment at all times. 
    • Manage the reverse transfer process to award degrees to eligible former students who have transferred to four-year institutions.
    • Perform related duties as required or deemed necessary to meet the Recruitment goals within the scope of responsibility. 
    • Upholds and agrees to comply with all federal, state, and local requirements pertaining to the security, confidentiality, and privacy of information maintained by institution, including the Family Educational Rights and Privacy Act (FERPA).
    • Evenings and weekends may be required.
    • Other duties as assigned.

 

 
PHYSICAL REQUIREMENTS:
This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; constantly operate a computer or other office equipment, such as a printer or copy machine; and frequently move throughout facilities and campus (including outdoors).
Minimum Qualifications
MINIMUM QUALIFICATIONS
  • A bachelor’s degree from a regionally accredited college or university
  • At least one year of work experience in a related field in either the private sector, with a state agency, or higher education.
  • Strong understanding or higher education practices related to registrar functions. including FERPA and other relevant federal and state policies.
  • Direct experience with electronic student record management systems.
  • Strong communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders, including administrators, faculty, students, and staff.
  • Ability to engage in strategic planning and continuous improvement efforts, enhancing the efficiency and effectiveness of office operations.
Preferred Qualifications
PREFERRED QUALIFICATIONS
  • A master’s degree from a regionally accredited university. 
  • Experience in a registrar’s office or related student records office within higher education.
  • Work experience and above average skills in the utilization of computer systems, Banner, Argos, and Microsoft Office applications.
