Associate Registrar for Operations

Job Summary:

The Associate Registrar for Operations provides strategic leadership and oversight of the day-to-day operations of the Office of the Registrar. Supervise and develop three Assistant Registrars, fostering a collaborative, high-performing work environment aligned with institutional values and enrollment goals. Act as the office’s primary liaison with the Office of Information Technology (OIT) to coordinate PeopleSoft system upgrades, service requests, and related staff training, while managing the Student Records module and ensuring system integrity, security, and compliance. Partner with academic and administrative departments across the university, lead process improvements and cross-functional initiatives, and direct ad hoc projects and implementations to enhance operational efficiency and service delivery. Oversee records processing, graduation, and enrollment reporting, while actively participating in committees and supporting institutional planning to advance student success and organizational effectiveness.
 
Essential Duties and Responsibilities:
  • Supervise daily operations and tasks within the Office of the Registrar associated with records, processing, graduation, enrollment reporting, while managing end-of-term processes to ensure accuracy, timelines, and compliance with institutional policies.
  • Coordinate and lead Student Records projects, customizations, process improvements, implementations, and development of technology related applications that enhance services.
  • Oversee set-up and maintenance of Student Records module in PeopleSoft including submitting job automation requests related to Registrar operations.
  • Supervise, develop, and evaluate three Assistant Registrars’ while providing guidance and support in addressing escalated issues within their respective functional areas.
  • Assign priority enrollment appointments and coordinate communication for priority registration ensuring alignment with institutional priorities, operational efficiency, and enrollment management strategies. 
  • Assist with the development and maintenance of the university’s official academic calendar, ensuring accuracy and compliance with institutional policies and regulations.
  • Manage system security, including oversight of student groups, service indicator access, and role-based permissions, ensuring compliance, data integrity, and secure operational processes. 
  • Coordinate testing related to PUM and PeopleTools upgrades in conjunction with OIT.
  • Serve on academic committees, task forces, and cross-functional initiatives for the Office of the Registrar to advance enrollment management, student success, and strategic institutional priorities. 
  • Perform other tasks as needed.

Minimum Qualifications:

  • Master’s degree. 
  • Five (5) years of progressively responsible experience in records and registration or in areas closely relevant to the Registrar’s Office.
  • Three (3) years of supervisory experience.
  • Experience with utilization of ERP systems.
  • Understanding of the role of data and document management in decision making analysis or the equivalent experience.

Preferred Qualifications:

  • Ten years of progressively responsible experience in records and registration or in areas closely relevant to the Registrar’s Office.
  • Five (5) years of supervisory experience.
  • Experience with utilization of ERP systems. 
  • Experience with PeopleSoft, ImageNow, and catalog software.
  • Experience leading projects to completion.
