The Office of the Registrar is seeking an Administrative Coordinator I who will support the accurate and timely reporting of student enrollment and degree information to the National Student Clearinghouse and the National Student Loan Data System.

What You Need To Know

Salary Range: $45,000

  • This position may require work beyond normal office hours and/or work on weekends.

  • Must be able to arrive to work on time and regularly.

  • Must be punctual, dependable and able to work independently.

  • Must be able to work occasional weekends and evenings, including participation in university commencement ceremonies.

 

Essential Duties/Tasks

Processes Enrollment and Degree Files

  • Provides support for administrative operations to ensure accurate student records are reported within the appropriate timeframe to the National Student Clearinghouse (NSC) for verification of enrollment and degree. Includes all branch campuses and teaching locations affiliated with Texas A&M University.

  • Responds in a timely manner to NSC error reports, which are received on a schedule of every 28 days or less, and discrepancy notices by updating the student record within the NSC database and within the university student information management system (Compass).

  • Monitors reporting of current students who are receiving or have ever received federal financial aid to the National Student Loan Data System (NSLDS) to ensure accurate and timely reporting in compliance with U.S. Department of Education regulations.

  • Ensures corrections made with NSC are received and reflect accurately in the NSLDS database.

  • Processes manual updates to the NSLDS database when appropriate.

 

Responds to Enrollment and Degree Verification Requests

  • Researches and responds to enrollment and degree verification requests where information within the NSC database is not available or accurate.

  • Enters or corrects this information within the NSC database.

  • Responds to third party requestor emails when confirmation of NSC information is sought.

  • Adheres to FERPA and considers other privacy issues when responding.

 

Processes Professional Program Student Leave of Absences (LOAs) / Withdrawals (WDs)

  • Processes leave of absence/withdrawal requests for professional programs in Dentistry, Law, Medicine, Pharmacy, and Veterinary Medicine.

Qualifications

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience.

  • Two years of experience in office administration.

 

Preferred Qualifications

  • Working knowledge of Family Educational Rights and Privacy Act (FERPA).

  • Working knowledge of Compass and Perceptive Content.

  • Familiarity with Department of Education enrollment reporting rules.

  • Knowledge of National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS) reporting systems.

  • Familiarity with Texas A&M academic procedures and rules.
