Job Summary

The Associate Registrar serves as a key member of the Office of the Registrar leadership team and provides operational leadership for student records, degree audit, graduation, transfer credit evaluation, enrollment and degree reporting, and student information system processes. The position supervises records and degree completion staff, ensures compliance with institutional policies and federal regulations, and supports the Registrar in advancing strategic initiatives related to academic records, student progression, and degree completion.

This position may require some weekend or after-hours travel for workshops and University events.

 

Major Responsibilities/Duties/Critical Tasks

  • Supervise Graduation/Commencement Coordinator.
  • Supervise Transcript Evaluators.
  • Leadership of degree audit.
  • Transfer credit evaluation.
  • Oversee degree conferral, commencement and NCAA certification.
  • Oversee student records operations. 
  • Serve as an operational lead for Stellic and related student success technologies.
  • Support curriculum and catalog management processes.
  • Assist with implementation of approved curricular changes. 
  • Aid the university registrar with the maintenance, retention, and security of all academic records, the collection of associated data, and reporting for internal and external purposes. 
  • Maintain all procedures for compliance with the University, state and federal policy, guidelines, procedures or deadlines.
  • Complete reporting requirements including National Student Clearinghouse.
  • Research best practices and remain current in areas of responsibility, with an in-depth knowledge of FERPA, to recommend and implement procedures that will enhance service, increase effectiveness, or create efficiency.
  • Represent the university registrar’s office in university committees as requested. 
  • Assist with the development of the academic calendar in collaboration with academic affairs. 
  • Fulfill Texas Public Information Act (TPIA) requests and coordinate responses for orders of student record access by subpoena.
  • Collaborate with university registrar to provide annual assessment data. 
  • Other duties as assigned.

 

Required Education/Experience

  • Bachelor's degree from an accredited institution
  • Three (3) years of progressively responsible experience in a registrar's office, academic records, degree audit, enrollment services, student services, or a related area within higher education administration. 
  • Experience interpreting and applying academic policies, degree requirements, and institutional regulations; utilizing student information systems and related technologies; and supervising staff, leading projects, or coordinating functional teams. 
  • Strong written and verbal communication skills, sound judgment, and the ability to collaborate effectively with students, faculty, staff, and administrative leadership are required.
  • May accept a combination of education and experience. 


Preferred Education/Experience

  • Master’s degree preferred.
  • Five (5) years of management experience in higher education.
  • Professional organization memberships.

 

Required Certifications/Licenses

  • Texas Driver’s License (or receive within 30 days of hire date).

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
